Payment received message
“Hi Priya, thanks, your deposit of $300 for the move-out clean came through. The balance of $700 is due when we finish. Looking forward to getting started.” A payment confirmation names the amount, what it paid for and what is left. The balance matters most: put the amount still owed and when it’s due in the same message, so the customer has one place to look at the end of the job.
Confirm a payment
Wait until the money shows in your bank or payment app before you send it. A screenshot of a transfer isn’t the same thing.
Your message
When should you send a payment received message?
As soon as the payment clears, the same day if you can. People paying a new business by transfer or app often wonder whether it went through, and one line now saves the “did you get it?” text later. If your card processor already emails a receipt, a personal note still earns its place when a balance is left, because the processor’s receipt won’t say what is still owed.
What should a deposit confirmation say?
The deposit amount, the job, the balance and when it’s due. Make the numbers match the quote to the dollar: if the quote said $1,000 with a 30% deposit, the message says $300 received and $700 to come. If the deposit holds a date on your calendar, add the date. And if the deposit is non-refundable, this is the wrong place to say so for the first time; that belongs on the quote.
What if the customer paid the wrong amount?
Say exactly what arrived and what that leaves. If $480 lands on a $500 invoice, write “I received $480, so $20 is still open,” or decide to let the $20 go and say that instead. A vague “got it, thanks” on a short payment is how small balances turn into awkward conversations months later. If they paid too much, offer a refund or a credit on the next job and let them pick.
Frequently asked questions
Is a payment received message the same as a receipt?
No. The message tells the customer the money arrived; the receipt is the record both of you keep, with the date, method, amount and what it covered. For cash, always give a receipt as well. For a deposit or part payment, a receipt showing the balance settles any later question about what was already paid.
Should I thank a customer for paying?
Yes, once, and plainly. “Thanks, it came through” is enough. Paragraphs of gratitude for being paid what was owed read oddly, as if you weren’t expecting the money. Save the warmer words for the thank-you after the job, or for the customer who paid early without being asked.
What if they say they paid but nothing has arrived?
Look everywhere money can land: the business account, any personal account tied to your payment app, and your card dashboard. Transfers can take a day or two to show. If it still isn’t there, ask which app or account they sent it to; a payment to an old email address or the wrong username is a common cause.
