Free payment receipt maker

A payment receipt confirms money received for a job or purchase. It should identify the payer, payment date, amount and method, while showing any balance still owed. Enter this payment separately from earlier payments so the new receipt records the right transaction. Add the work or items, then print the receipt or save it as a PDF.

Fill in the details, then print or save a PDF. Amounts are in US dollars. Your entries stay on this page until you choose the next step.

Describe line 1.

What should a payment receipt show?

Identify your business and the payer, describe what the payment covers, and enter the payment date, amount received and method or reference. Use a receipt number that you can match to your own records.

For a cash payment, a clear receipt helps both sides remember which job was paid. For a bank transfer, include the reference the payer used. Keep unrelated account details off the customer copy.

How do you record a partial payment?

Enter the full work or items in the lines, this payment received, and any earlier payments. The receipt identifies this payment and shows the remaining balance after both amounts. It labels the payment as partial while money remains due.

The payment date and reference belong to this payment. Keep earlier payments in their own records, then enter their combined amount here so the balance reflects everything received so far.

When should you make an invoice instead?

Use an invoice when you are asking for payment. Use a receipt once the payment has arrived. A requested deposit belongs on the quote or invoice until it is paid.

A receipt for the last payment should say Paid in full. One for a deposit should call it a deposit and show what is still due, so nobody mistakes it for the final bill.

Example: a payment received on a larger job

For an $800 job with a $200 payment received, record $200 as this payment and $600 as the remaining balance. Use the date and reference for the money that actually arrived.

When the remaining $600 arrives, enter $600 as this payment and $200 as earlier payments. The new receipt shows Paid in full and keeps this payment’s date and reference separate.

Frequently asked questions

Do I need to give a receipt for a cash payment?

Give one every time. A cash payment with no receipt is your word against the customer’s if a balance is ever questioned, and the copy you keep is your record of that income.

Is an invoice marked paid the same as a receipt?

For a job paid in one go, close enough. When you took a deposit or a part payment, a receipt is cleaner: it records this payment, its date and method, and the balance left, without re-sending the whole bill.

How long should I keep copies of receipts?

The IRS says to keep records for three years from when you filed the return in most cases, and six years if you left out income worth more than 25% of what you reported. Keep receipt copies with the invoices they belong to.
