House cleaning invoice template you can print as a PDF

A house cleaning invoice should identify the visit and checklist the customer accepted, then show the amount still due. How do you identify the cleaning visit?

Put the service date and address beside the cleaning description. For recurring customers, the date matters more than a generic “monthly cleaning” label: it lets them match the charge to the visit they received. If you bill several visits together, list each completed date and agreed price.

Use the accepted visit type. A maintenance clean, a first deep clean and an empty-home move-out clean should remain distinguishable in the customer’s records. For hourly work, show the total cleaner-hours used within the approved allowance. For fixed-price work, retain the agreed total even when an efficient team finishes early.

How should you bill appliance interiors and other extras?

Name the extra task, such as oven interior, inside refrigerator or laundry, and use the price the customer approved. If those tasks were already included in a move-out package, leave them within that package instead of charging twice. A customer should be able to compare the invoice with the checklist without reconstructing a conversation.

If part of the clean was inaccessible, describe the agreed adjustment. Do not mark an occupied cupboard or locked room as completed. Keep a short completion note with any photographs the customer agreed to receive, avoiding private possessions or paperwork that do not need to be shown.

What payment details help a recurring customer?

Show the full visit charge, applicable tax and any deposit or credit already received. Apply a credit to the balance rather than changing the completed service description. The sample has no deposit and payment is due after the visit; use the payment date and method your customer agreed to.

If a customer pays for more than one clean in a transfer, allocate it to the correct visit dates before sending a reminder. A reminder should identify the unpaid date and balance. It should not ask for the full month again after some visits have been paid.

The example includes no late fee. Carry over a different fee term only when it was agreed and fits the rules for your business. When the clean is paid, send a paid copy or receipt and retain the visit checklist with the payment record. That makes a later scope or billing question easy to answer.

Frequently asked questions

Can I invoice a month of weekly cleans together?

Yes, when that billing schedule was agreed. List the actual completed visits so the customer can check the month. Do not assume every calendar month contains the same number of service dates.

How do I show a customer credit?

Keep the original cleaning charge visible and apply the agreed credit separately to the balance. Include a brief reason or reference so it is clear which visit the adjustment concerns.

Should tips appear as a cleaning charge?

Keep a voluntary tip separate from the agreed service price and record it accurately when received. Do not turn an optional gratuity into part of the amount the customer must pay.
