How do you show which mowing visits were completed?
Put the service address and actual visit date in the line description or scope. If you bill several properties, identify each one beside its work. The customer should be able to match the invoice to the lawn that was cut without looking through appointment messages.
For monthly billing, list the completed dates and use the correct quantity. A skipped or rain-delayed visit is not automatically billable as completed mowing. If the customer instead buys a fixed seasonal maintenance plan, name the agreed billing period and refer to that plan’s terms.
How should leaf cleanup and other extras appear?
Use a separate line for approved leaf cleanup, bed work or clipping haul-off. Name the work and the date it was done, with the accepted price or quantity. Keep routine trimming and blowing inside the mowing line when they were already included in the visit rate.
If the lawn needed an approved reset cut, describe that service rather than adding a vague surcharge. Retain the customer’s approval with the job record. A short completion photo or note can answer a scope question without turning the invoice into a long report.
What payment details make a recurring invoice clear?
Show the business and customer details, invoice reference, issue date, due date and payment instructions. Credit a deposit or prepayment against the total rather than reducing the number of visits to force the balance. The maker lets you enter payments received and calculates what remains.
The example has no late fee. Use the payment terms agreed for this account and keep any changed terms in the next offer. Once paid, record the payment reference in your accounting system and send a receipt when needed. The service dates should remain visible on the paid copy.
For a reminder, name the invoice, mowing dates and balance: “The mowing visits listed on this invoice are complete. The balance is due under our agreed terms; the payment details are on the invoice.” Check the payment record before sending the reminder so it does not chase a payment already made.
Frequently asked questions
Can I invoice four weekly cuts as a monthly amount?
Use four only when four visits were completed or the accepted plan explicitly covers that billing arrangement. Months and weather do not produce the same visit count every time. List the dates so the customer can check.
How do I credit a missed area?
Agree the correction with the customer and record the credit or return work against the relevant visit. Keep the original service description and payment history clear rather than deleting the completed visit.
Should I add a tip to the amount due?
A voluntary tip is separate from the accepted mowing price. Record it accurately when received; do not make it a required charge on the service invoice.
