What goes on the finished gutter cleaning invoice?

Use a unique invoice reference and identify the customer, your business and the property you serviced. Include both the service date and the invoice date. A landlord may manage several addresses, so the property and any customer purchase-order reference help them pay the correct bill.

Carry over the accepted footage and scope. For the sample job, the cleaning line includes ordinary downspout flow checks and bagged-debris removal. If the customer approved a separate guard or repair task, include that specific work and its agreed price. Do not replace the agreed total with an hourly calculation just because the job took longer.

Show the subtotal, applicable tax, full invoice total, payments already received and remaining balance. A deposit is a payment against the job, not another service line. Our example has no deposit and no tax amount assumed. Enter the tax treatment for your own business and location before sending your invoice.

How should you write payment and late-fee terms?

For this sample, use: “Payment is due on completion. Please include the invoice reference with your payment.” Replace that sentence with the terms the customer accepted if you bill on a later date. Put a specific due date on the invoice so the customer does not have to interpret a shorthand label.

List only payment methods you actually accept and give the relevant details. For a bank transfer, include the correct account instructions; for a payment link, check its destination. An invoice is not a reason to introduce a new card surcharge or fee the customer never agreed to.

The sample wording is “Late fees: none.” If your business uses a late fee, copy the term already agreed with the customer and check the rules that apply to your location. Keep any payment reminder focused on the invoice reference, amount due and an easy way to pay.

What helps close the job without another phone call?

Attach or link the before-and-after photos you took for the customer, especially an outlet that was blocked before cleaning. Describe any remaining issue accurately: an underground drain problem or damaged gutter joint is separate from removing debris. That keeps the invoice readable while giving the customer useful evidence of the visit.

When payment arrives, mark the invoice paid and retain the payment reference. If the customer pays only part, issue the correct remaining balance instead of another invoice for the full job. You can keep your bookkeeping in QuickBooks or your current system; the printable invoice is the customer-facing record of this particular clean.

Frequently asked questions

How do I show a deposit on a gutter cleaning invoice?

Show the full agreed job total, then a separate payment received with its date or reference. Subtract that payment to get the remaining balance. Do not reduce the cleaning quantity or add a negative service that hides the original scope.

Should I invoice for a downspout blockage found during the visit?

Bill separately only for additional work the customer approved. If ordinary downspout clearing was included in the accepted quote, it belongs within that price. Record an unresolved drain issue for a separate proposal.

What if the customer says they have already paid?

Match the invoice reference against the payment record and confirm the amount and date. Send a paid receipt if it matches, or explain the remaining balance with the credited payment visible. Keep the original invoice reference.
