What should each field tell the customer?
Put your business name, contact details and estimate reference at the top. Add the customer’s name and the service address, which may differ from the billing address. Record the issue date and the date the offer expires. The sample uses a fourteen-day validity period as an editable business choice; it is not a rule for the trade.
Describe which gutter runs the measurement covers and whether the garage is included. State single-story or multi-story access rather than relying on a photo alone. Keep the unit beside the quantity: linear feet measure the gutter run, while the property’s floor area is only background information.
Use the rate and quantity to calculate the line total. The filled example includes routine downspout flow checks and removal of bagged debris in the cleaning line. Add only genuinely separate work as another line. Show the total and any applicable tax explicitly, then show the deposit and remaining amount without charging the deposit twice.
Which extras and exclusions belong in this quote?
Add guard removal and refitting only after checking the sections involved. Exterior gutter brightening, roof debris removal, detached outbuildings and small repairs should each have a clear inclusion or exclusion. If you offer an optional extra, label it as optional and leave it out of the accepted total until the customer chooses it.
For this sample, exclude underground drain clearing, repairing leaking seams, replacing hangers and changing gutter slope. Note any access assumption, such as a clear side path and an available outdoor water connection. If the site differs, agree the revised scope and total before doing additional work.
How do you turn the quote into a booked visit?
Give the customer a simple way to accept the scope and total in writing. Confirm the service address, access arrangements and the agreed arrival window. Weather can change ladder work, so explain how you will arrange a new time if conditions prevent the visit. A precise scheduling note is more useful than a long page of generic terms.
After acceptance, keep the original quote with any approved changes. Use the same service wording on the invoice so the customer can match the finished job to what they agreed. The editor below gives you a printable document; your existing calendar, Jobber or QuickBooks can remain where you handle scheduling and bookkeeping.
Frequently asked questions
Can I send this gutter quote without measuring on site?
You can prepare it from the customer’s measurements and photos when they show the full roofline and access. Write those assumptions into the scope. Confirm uncertain footage or guard work before giving a fixed final price.
Does the example charge a deposit?
No. The sample deposit is zero and the full balance is due after completion. Change that choice if your own booking arrangement uses a deposit, and show how it reduces the final amount due.
Can I print the estimate as a PDF?
Yes. Edit the sample and use the document’s print action, then choose Save as PDF in your browser. Check the service address, accepted total and terms before sending the file.
