Turn job notes into a quote

What notes do I need to write a quote?
Include the work the customer expects, the measurements that affect it and anything you have left out of the price. A painting job might cover walls but exclude trim and ceilings. A gate repair might reuse sound boards but price a concealed rotten post separately. Write those details before polishing the wording; they are what the customer is agreeing to buy.
Add your labor and material costs, then state how you want to price the job. If you want a margin on the overall job, say that; the customer-facing price can include it without showing your internal profit target. Check travel, disposal and any second visit before settling the total. Finish with your availability, payment terms and the step the customer takes to accept the quote.
How do I use it?

Ask for a customer quote that includes your margin in the selling price, with payment terms and optional work clearly stated. Check the scope and total, then copy or download the quote and send it through your usual workflow.

Worked example: fence-gate repair quote
Example input: Sample job costs: 3 hours of labor at $60 per hour cost, $58 for hardware, 30% margin on the whole job, total-only customer price, no sales tax in this example. Alex’s back gate is sagging; opening 46 inches; reuse sound cedar boards; replace two hinges and latch; side-yard access; dog kept inside. Exclude staining and concealed post damage. Payment on completion; quote valid for 14 days.

Included work • Remove the existing hinges and latch, and inspect the gate frame and hinge post. • Re-square the gate, reusing sound cedar boards. • Fit two replacement hinges and a new latch. • Test opening and latching, and remove the old hardware.
Total: $340.00. No sales tax is included in this worked example.
Access and assumptions • The existing hinge post and gate frame are sound. • Side-yard access is available and the dog is secured indoors.
Not included • Staining, painting or a self-closing upgrade. • Replacement of a concealed rotten post or unusable boards. Any additional work will be priced and agreed before it starts.
This quote is valid for 14 days. Payment is due when the repair is complete. Reply to accept the quote and arrange a visit.
Worked example: room-painting scope and assumptions
Example input: office 11x13, 8 ft ceiling, walls only, current dark blue going light gray, allow primer and two finish coats, mid-range washable eggshell paint, six nail holes, one 3-inch scrape, customer moving desk, we cover floor, trim/ceiling/closet no, weekend preferred
The proposed work covers the walls of your 11-by-13-foot office with 8-foot ceilings. It includes protecting the floor, filling six small nail holes and the 3-inch scrape, preparing the walls, one primer coat and two coats of light-gray washable eggshell paint. The ceiling, trim and closet are outside this scope.
I have based the scope on a mid-range paint and the desk being moved before work begins. A weekend visit is preferred. If you choose a different finish or add the ceiling later, I will show that change separately so you can see its effect on the price before approving it.
Frequently asked questions
Can I keep an optional extra separate?
Yes. Say which work is optional and whether it should have its own price. For example, quote a self-closing gate hinge separately from the repair so the customer can approve the main job without silently accepting the upgrade.
What if the customer changes one part of the job?
Tell Make This Useful what changed and ask for a revised quote. Check the complete scope and new total before sending it. Give the revision a clear reference so the customer knows which version to approve.
Can I use the wording with Jobber or QuickBooks?
Yes. Copy the scope, line descriptions and customer message into the job in Jobber or QuickBooks, and keep the invoice and payment record there.
