Appointment confirmation text template
“Hi Marcus, thanks for booking with us. You’re all set for your gutter clean on Tuesday, Nov 3, between 1 and 3 at 22 Oak Lane, for $180. If you need to change the time, just reply here.” Copy every detail from your calendar, not from memory. This is the text the customer checks on the day, so it has to match your schedule exactly.
Write the confirmation
Use the address the work happens at, which is not always the one on the customer’s account. Check it against the booking before you send.
Your message
What should an appointment confirmation include?
The weekday and date together, the arrival window, the street address, the price or estimate as quoted, and how to change the booking. Pairing the weekday with the date makes the text check itself: if you typed one of them wrong, the customer notices now. When the final price depends on what you find, write “estimate”, so the bill is not the first time they hear it can move.
Bookings made for someone else are where confirmations fail. A landlord, a grown son or a property manager books the visit, and the person who opens the door has never seen the text. Ask who will be there, send the confirmation to them as well or ask the booker to forward it, and put that person’s name and number in the job notes.
How do you confirm a rescheduled appointment?
Send a full new confirmation with every detail, even if only the day moved. “Sure, Thursday works” halfway down a long thread leaves the customer scrolling up to the old time. Say plainly that the old time is canceled, so they take it out of their calendar too. If you moved it, apologize once; if they did, thank them for the notice.
Should you put the price in a confirmation text?
Yes, once it is settled. A price in writing at booking ends the “I thought it was $150” conversation before it starts. For hourly work, write the rate and any minimum the way you quoted them; for an estimate, write the range. If you can’t price it until you see the job, say the visit is to quote it and leave the price out.
Frequently asked questions
Do I need both a confirmation and a reminder?
When the job is more than a couple of days out, yes. The confirmation is the record of what you agreed; the reminder is the nudge to be ready. For a job booked for tomorrow, one message does both, so add any prep ask to the confirmation and skip the reminder.
How soon after booking should I send the confirmation?
While you are still on the call, or within the hour. A confirmation that arrives the same day reads as organized; one that turns up next week makes the customer wonder whether you wrote it down at all. For a booking left on voicemail or a web form, the confirmation is also your answer that the time is free.
Should a confirmation mention a cancellation fee?
Only if the fee is already in your booking terms or the quote they accepted. Repeating it once is fair, because the customer sees it before the day: “Changes with less than a day’s notice carry the trip fee in your quote.” A fee that first appears in a confirmation is one they never agreed to, so add it to the quote for next time.
